Replacing a heating and cooling system is one of the larger unplanned expenses a household in this area faces, and it usually has to be decided quickly, in the middle of a cold snap or the first genuinely hot week of June. That urgency is exactly what makes it easy to choose badly.
Verify the Virginia license first
Ask for the contracting business name and license number, then check both through the Virginia DPOR License Lookup. Review the license class and trade specialty; they answer different questions about the value and type of work the business may perform.
Ask for the license number in writing. A contractor who is reluctant to give it to you has told you something useful.
Get the load calculation, not just the tonnage
An honest quote for a replacement system should be based on a Manual J load calculation, which accounts for your home's square footage, insulation, window area and orientation. A contractor who sizes your new system by looking at the old one is guessing, and an oversized unit will short-cycle, dehumidify poorly and wear out early.
If a quote arrives within ten minutes of a walkthrough and cites only a tonnage figure, ask how it was calculated.
Compare three quotes on the same scope
Quotes are only comparable if they describe the same work. Before you compare prices, check that each one specifies:
- The equipment make, model and efficiency rating
- Whether ductwork modification is included
- Permit fees and who pulls the permit
- The labor warranty, separately from the manufacturer's parts warranty
- What happens to the old equipment
Ask about the warranty that actually matters
Manufacturers warrant parts, often for ten years, but only if the system is registered after installation and serviced on schedule. The labor warranty is the contractor's own, and it varies enormously: one year is common, and five is a meaningful signal of confidence.
Understand the maintenance agreement before you sign it
Most contractors in the region offer a seasonal maintenance plan. These are usually worth having, but read what is included. A plan that covers two visits and a discount on repairs is a different product from one that only covers a filter change.
